Part Time Administrative Assistant
Position Summary
The Administrative Assistant provides essential administrative and operational support to the church staff. This role is responsible for managing front-office duties, maintaining records, coordinating communications, and assisting ministry leaders with a variety of administrative needs. The ideal candidate is organized, dependable, service-oriented, and able to manage multiple tasks in a ministry environment.
Key Responsibilities
- Greet visitors and answer incoming phone calls in a friendly and professional manner
- Monitor, track, and order office supplies as needed
- Prepare copies, mailings, and printed materials, including brochures and handouts
- Maintain accurate records and databases (including Planning Center and office files)
- Distribute care updates and internal communications as needed
- Coordinate staff birthdays, including cards and refreshments
- Prepare first-time guest gifts and welcome materials
- Prepare baptism certificates and shirts
- Coordinate funeral meal teams when needed
- Prepare agendas and record minutes for staff meetings
- Update room signage as needed
- Provide administrative support for the Executive Pastor
- Perform general office duties as assigned
Qualifications & Required Skills
- A strong commitment to the mission of the local church (preference given to individuals who are part of the HFCOG church family)
- A growing personal relationship with Jesus Christ and a passion for serving others
- Demonstrated ability to manage projects from start to completion
- Strong organizational skills with the ability to handle multiple tasks simultaneously
- Self-motivated, action-oriented, and able to take initiative
- Strong interpersonal skills with the ability to relate well to a wide variety of people
- Effective verbal and written communication skills
- Detail-oriented, creative, and highly productive
- Teachable attitude with a willingness to receive feedback and pursue personal growth
